
Cancellation and Consistency of Attendance

Notice of cancellation given more than 24 hours before the assessment or therapy session will not incur charge.
Please note plan-managed NDIS clients are required to give 48 hours’ notice.
If your session is on a Monday, you can notify Ruby's Room via email or text on the preceding Saturday or Sunday.

Late cancellations (within 24 hours) will incur a fee of 50% of the session rate.
Ruby’s Room will endeavour to contact clients to assist with home practice provision for the week ahead.

‘No shows’/Failure to attend – ‘No shows’ will incur a fee of 50% of the appointment (assessment or therapy) rate.
Ruby’s Room will attempt to contact to arrange for rescheduling if possible.

Before you cancel – see if we can reschedule!
Therapy is most beneficial delivered regularly and clients benefit from routine. However, we endeavour to accommodate families when ‘life happens’ by being flexible and offering occasional rescheduling so our clients can continue making progress towards goals.

‘Woke up sick’
As a private practitioner, it has been observed that clients who often or unexpectedly feel unwell on the day of their appointment are the ones who get hit most by the late fees! In an effort to reduce these fees, if your child wakes up unwell on the day of their session, don’t hesitate to reach out. We can attempt to reschedule later in the day or later in the week.
Alternatively, our dedicated session time can/will be used for-
parent coaching,

parent discussions about your child’s progress,

preparing personalized home practice program materials for your child,

contacting your child’s teachers/other professionals.

Consistency in attendance:
Consistency in attendance is considered breached if more than three appointments in a school term are missed, or three consecutive appointments are missed. If this occurs, Ruby’s Room will endeavour to contact the client to discuss whether regular therapy appointments can be reasonably attended by the client; if service delivery can be adjusted to support the client's attendance; or whether it is time for the client to take a break and recommence therapy at another time. Ongoing missed appointments may result in the client’s regular appointment time being offered to someone from our waiting list.
